Why is the report not showing the expected data or not showing any data?** a) Please make sure that you are logged into the correct school (not the district) and school year. ![](https://cdn.document360.io/a9a44193-1aef-416c-8e45-ad587af00e29/Images/Documentation/image-1705436482159.png) b) Verify the appropriate report parameters are being used to capture the desired data. c) Verify your data. Reports and exports are only as accurate as your data is. Unexpected results are often a result of data discrepancies. We have many reports that can be used to help identify data discrepancies. Below are a few desktop reports that may be of assistance. Rosters - Enrollment - Students Never Enrolled In A School - Students Not Assigned To A Class - Students w/Mismatched School/Class Dates This Year Tools - Grade Level Discrepancy Scanning Tool - List Students With No Relations set for Parents - Student Match Check Export d) If you run a report with a grade level filter and get unexpected results, verify the student grade level designation is correct (top right corner of student form). The 'Grade Level Discrepancy Scanning Tool' desktop report may be useful to help identify these discrepancies.  e) Most reports are linked to ADA class rosters. Verify you have enrolled students in their ADA class rosters before running a report for the specific school year.  Search for reports with 'No ADA' in the report title if you need to run a report that doesn't use ADA class rosters. For example, you may want to review school enrollment rosters that include pre-enrolled students who have not yet been enrolled in an ADA class for the upcoming school year. You could use any of the highlighted reports below. If you want a simplified list of students by student grade level, use the report for '**School Enrollment Projection - No ADA**'. ![](https://cdn.document360.io/a9a44193-1aef-416c-8e45-ad587af00e29/Images/Documentation/image-1752607518683.png) ## **2. Why is a new student missing from my report or automated export?** If you are missing students, that is often a result of incomplete student-contact relationships. The data for new students needs to be collected and entered, whether it is done manually or through Online Registration. If data collection is not done through the Online Registration (all forms verified by admin and uploaded to the live SchoolWise database), it has to be entered manually through the SchoolWise Desktop (which includes setting relationships, emergency contacts, pickup permission, and parental notifications). Verify that the family includes 1 or 2 household parents. Many reports/exports will not generate the correct results if the family has 0 household parents or >2 household parents. ![](https://cdn.document360.io/a9a44193-1aef-416c-8e45-ad587af00e29/Images/Documentation/image-1638820084728.png) ## **3. Why is a student shown twice in my report or automated export?** Verify that the family includes 1 or 2 household parents. Some reports/exports which rely on family records to sort data will show duplicate records if the family has >2 household parents. ## **4. Why is the Letter Gradebook Progress Report showing an unexpected mark?** Custom grading scales may affect the calculated letter grade mark. The calculated letter grade mark is determined by the calculated percentage value and the course grading scale. The default grading scale setup in the SchoolWise desktop (Schools - Marking System Setup) is normally used for all letter-grade gradebooks. [Click here](https://help.schoolwise.com/docs/marking-system#setting-the-default-gpa-scale) for more information on the desktop marking system setup. Custom grading scales can be used by teachers if they change their gradebook grading scale min percent value required for a grade. Custom grading scales should be used with caution as inconsistent grading scales often confuse parents/guardians and some school staff. If desired, custom grading scales can be reset back to the default grading scale from the gradebook settings by clicking the red reset back arrow (the reset arrow is only enabled if the default grading scale has been changed). ![](https://cdn.document360.io/a9a44193-1aef-416c-8e45-ad587af00e29/Images/Documentation/image-1601503618974.png) You can access the class gradebook Grading Scale Setup to review and/or edit in 2 manners: - Open the Class List for the teacher, then select the Actions Setup menu and select Grading Scale Setup. - Open the specific gradebook, then select Edit Grading Scale from the Letter Gradebook dropdown picklist at the top or the page.
