Understanding the Meal Scan System
Note: Meals can only be scanned on in-session days (normal school days) unless you request SchoolWise enable the option to scan meals on non-in-session days (such as holidays or weekends when operating an Expanded Learning Opportunity Program).
The SchoolWise Meal Scan System relies on a USB scanner that you must purchase and set up before you may scan meals in an automated fashion. There are many USB scanners out there that can work with SchoolWise, but the official one that we support is made by Symbol.
The Scan Meals Form allows scanning of students/staff meal purchases. Payments can also be made from this form. To open the Meal System form choose “Scan Meals…” from the toolbar.
Meal Items Setup – Meal Items must be setup each year. If a Meal Item changes price mid-year then a new Meal Item must be created and used from that point on. To setup Meal Items: Go to the File Menu – District Setup – Meal Items Setup to Launch the Meal Items Form. From here you can add edit all of the items offered at the cafeteria. Use the Primary navigation toolbar new icon (or right click menu) to add new items. Once all of your items have been added, close the form and your ready to print the scan reports.
In order to scan students & staff meal purchases you must first enter meal items – then print the “Barcode Rosters for 1 Week” report. This has to be printed from a laser printer for best error free quality.
Once the setup is complete & your scan sheet is ready to go, its very simple to scan a cafeteria purchase. Launch the Scan Meals Form – set the date and item that you are going to be scanning (i.e. Lunch – then scan away! When a student goes through the line click the scanner trigger over his/her barcode and you should hear a beep and see the students name and the meal purchased show up. Repeat…! J
You can customize what shows up on the Form by using the check box controls. Photo, Balance and Meal Status can show or not show depending on what you want to be seen.
You may also manually charge a meal item to a students’ account by clicking on the Charge button. The Worker button will assign a Free Meal to a student that helps out as a worker. It will show in the students’ meal balance as a worker meal.
To accept a Payment you may click on the Payment button. Make sure that your NUMLOCK key is on if you plan to use your numeric keypad to enter amounts.
