Using the Report Explorer There are over 1500 reports available to you in the SchoolWise Report Explorer.   The extensive amount of reports may be overwhelming at first, but there are a few tools described below that will help you to locate what you’re looking for. When you first launch the Report Explorer from the left side from button you will see the screen below.  The three main parts of the Report Explorer screen are the Search Tool (top lefty hand corner) the Category List Tree (left side panel) and the Report Description & Documentation Area (the entire right side of the form.     To overview the process of locating a report - the Search Tool is always the first place to begin.  If you can’t find what you need there then you may browse through the Category List.   Don’t be afraid to look at the description and documentation to
Web User Privileges

For the 2020–21 school year only, CDE has determined that districts and county offices can implement the use of electronic signature for weekly attendance reports, daily participation, and weekly engagement records, even if the district or county office of education does not have prior approval of their attendance accounting system using manual signatures, as long as the following is in place:   1. The electronic system has a procedure to track and verify that initial attendance is entered within two weeks from the calendar day of the school day for which the attendance is a record thereof. This flexibility would be for the purpose of distance learning attendance tracking only. Attendance for in-class instruction should still be entered on the calendar day of the school day of record. Overview SchoolWise has both Letter-Grade and Standards-Based gradebooks. Either one or both types of gradebooks can be used for the same class. Gradebooks can be enabled for specific classes if desired.  Letter-Grade Gradebooks and report cards use traditional letter based (A-F) marks. Assignments are scored on a numeric point system based on the percentage of points they earn, out of the total points available. Any grade in your marking system table can be used for a report card mark. Letter-Grade report cards normally just show 1 overall letter grade mark per course, but you can add 1 or 2 optional supplementary marks if desired. Letter Grade Gradebook Teacher's Guide

Grade 5 Math, you can choose this option to add the new assignment to all three of those math sections. If the other sections do not have a matching Assignment Category, the category from the current section will be copied to the other sections. This option is only available if you teach more than one section of the same course during the same marking period.   Please note that if one section has an assignment category of “Test” (singular) for example and a separate section has an assignment category of “Tests” (plural), a new category of “Test” (singular) will be created in the second class and perhaps affect your assignment category calculations in ways you did not plan for.  This is why Assignment Categories must be named consistently between sections.     All my sections that have a matching category name The new assignment will be added to all your class sec tions
Daily Attendance Recording

Attendance can be recorded in the Desktop Attendance form or in the Web Attendance form. Attendance Recording Method (Positive vs Negative) For negative attendance, a student is considered present by default unless they are marked absent. This is the default attendance recording method used for most courses. This type of attendance recording is often used to track attendance in ADA Homeroom day classes. The default ‘Present’ status is normally hidden so it is not visible in the desktop attendance form or web attendance form. For positive attendance, a student is considered absent by default unless they are marked present. This type of attendance recording is often used to track attendance in specific classes (ex. period classes or after-school programs). Adding Staff

Adding staff members to your SchoolWise SIS consists of a two-step process of first creating the new staff member record and then assigning that staff member to a school.   How do I Add a Staff Member?  First, launch the Staff Form by left-clicking on the Staff button  in the menu bar on the left side of the screen. Now left-click the New Icon in the Primary Navigation Toolbar or right-click on the active staff list and select 'Add New Staff'. Enter the Name of the staff member and other appropriate info and then click next. The form searches the current staff for possible matches.  If a match is found, select that row to load the existing record in the staff form.   If no match is found, select the last row in the list to create a new staff member record.   Save your changes by clicking on

Taking Attendance for Short-Term Independent Study Short-Term Independent Study can be used for a maximum of 15 cumulative days per school year. If the cumulative duration is greater than 15 days, then you have to enroll the student in Long-Term Independent Study .  Short-Term Independent Study attendance records can be tracked in SchoolWise. In the desktop app you would choose Absent then set the reason as seen below: IS Cred - Credit Verified (Work Completed) Counts toward ADA IS NoCr - No Credit (Work was not completed) Does not collect ADA IS Pend - Pending (Waiting for work to be received) Does not collect ADA For a student to receive ADA they need to be marked as: IS Cred.   While this is marked as an absence in the system it is re-calculated back into the ADA reports as a separate line item for Short Term Independent Study.  Taking Attendance

Course Setup Overview The Courses f orm can be launched from the toolbar by selecting Courses.   Note: SchoolWise comes pre-loaded with default courses that should relate to your school type, these are a good start but you may need to edit or add courses, and you will need to set up the sections within each course. Course – A course is defined as any Grade Level, Academic Class, or Activity List that a student can be enrolled into. To create a new Course – first select what type from the pull down menu - Launch the courses form, click the new icon (or right click the course list now J ), enter the Local ID (should be unique), long & short name of the course, set the required fields then click the Save icon. End of Year Rollover Review - Best Practices Guide

Top Questions asked about Rollover and End of Year When can I enter new students into SchoolWise? You can enter new student records at any time in SchoolWise. You can pre-enroll new students in a school at any time in SchoolWise (the initial school enrollment date should be the first day they attend school). The rollover from the current school year to the upcoming school year does not have to be complete to do this. The calendar for the new school year does not have to be setup to do this.  The only limitation is that students can't be pre-enrolled in a class for the upcoming school year until after rollover has been completed. Class scheduling for the new school year can’t be done until after rollover has happened. If you re-enroll a former student, note that the end-of-year rollover auto-advance grade

Disciple Referrals are synchronized between the SchoolWise Web app and SchoolWise Desktop app. Discipline Referrals Privileges Click here for general information on setting web user privileges. Overview Standards-Based Gradebooks and report cards use standards that are referred to as “skills”. The gradebook and report card content is dependent on the specific skills linked to specific courses. Skill sets are 100% customizable for every grade level as the skill description is a free form text field. You can create a custom skill set or import an existing skill set (Common Core State Standards or other custom skill set). The report card marks are determined by the skill assessment scores and grading policies (Mastery Level calculation and Rubric). Student Web Portal Access Open an up-to-date internet browser (Chrome, Edge, FireFox, Safari, etc.) and navigate to the URL assigned to your school for SchoolWise Web access. It would look like this: YourSchool.schoolwise.com where "YourSchool" will be unique to your school. Do not try to connect to YourSchool.schoolwise.com. “YourSchool” is a subdomain prefix assigned by SchoolWise for your specific school district or charter school. After your web module has been setup, we will provide the specific prefix to you. Do not add the www prefix to your school subdomain. SSL will flag it as a security problem since www.YourSchool.schoolwise.com is not the same address as YourSchool.schoolwise.com. Has a student already created a web account? School administrators can see all users who are currently logged into their district in the SchoolWise web system. Click the "Show Current System Usage" link from the School Office System Adminstration Menu to see the current users. View User Audit Trail School administrators can view the user audit trail for any web account which includes the login history. We also have web reports to capture student login history or parent login history. For teacher web accounts, View User Audit Trail also includes a change log for gradebook marks and attendance records. To the right of each name (to the left of the username) is what is known as a Hamburger Menu. Click on this and then click on View User Audit Trail.

School Enrollment Overview Students must be enrolled in a school before they can be enrolled in any course or activity list. School Enrollment Status Code Primary Enrollment (Code 10) Secondary Enrollment (Code 20) Short-Term Enrollment (Code 30) Non-ADA Enrollment (Code 50) Summer School Enrollment (Code 25): This SchoolWise internal enrollment type is linked to a summer school ScyID. This enrollment type ends automatically when the summer school session ends. This enrollment type should only be used when a student attends summer school at a different school from their primary enrollment. There are at least 2 scenarios where this can happen: 1. In a multi-school district, where they operate summer school at a different school than the student is enrolled in. Students stay enrolled in their primary school, but also have a concurrent enrollment in the summer school. 2. In any district, after a student matriculates (often exit
